About the Position:

The Director of Property and Lease Administration will manage a growing and dynamic portfolio of leased properties and leases in a corporate environment, to ensure accurate, timely and detailed lease administration and manage the physical assets ensuring the Landlords fulfill their obligations to maintain our stores. In addition, the overall team the Director will manage is responsible for applicable period and year-end lease accounting entries (accrued/prepaid rent, deferred rent, amortization of tenant allowances) and the preparation of budget schedules relating to PRB lease/sublease rent expense/income.

What You'll Do:
  • Direct and manage a team of Property Managers, Lease Administrators and Real Estate Analysts to achieve departmental objectives. Train, coach, motivate and support the team in the completion of their duties.
  • Property Management duties, including the oversight of the maintenance of the self-maintained properties and day-to-day care. This is to ensure that properties are well-maintained and meet relevant local codes (such as for safety).
  • Because The Fresh Market has leases across the country, the Director will travel among the various properties to assess overall condition and any specific issues.
  • Lease administration, including the tracking of key dates for lease renewals and the identification of locations where outstanding issues require follow-up.
  • Review and approve all landlord lease documents that have been entered into the lease administration system
  • Review and approve period/year-end financial reporting of prepaid and accrued rent, CAM and taxes, including entries relating to deferred rent and amortization of tenant allowances.
  • Review the Lease Reconciliation Specialists audits of annual landlord reconciliations of budget to actual CAM and property tax charges for processing.
  • Ensure all rent, CAM and property tax payments to landlords are made in accordance with lease terms.
  • Review and approve one-off landlord invoices (primarily utility charges, miscellaneous repairs & maintenance).
  • Review and approve gross sales reporting and percentage rent payments to landlords.
  • Review and approve all aspects of the monthly landlord rent roll.
  • Provide timely reports to Real Estate and Legal departments for upcoming lease extension/renewal deadlines.
  • Landlord issue dispute resolution such as additional rent (CAM & property tax) charges.
  • Review draft lease agreement sections pertaining to rent, additional rent and sales/percentage rent reporting and identify issues/propose amendments.
  • Provide rental information to facilitate preparation of annual budgets to FP&A.
  • Collaborate with Legal and Real Estate Departments to process, review and approve all invoices to landlords for tenant allowances including monitoring collections.
  • Oversight of subtenant management, including, but not limited to, collection of rents, CAM, insurance & property tax; negotiate renewal rates.

Qualifications:
  • Bachelor’s Degree preferred or a minimum of 5-8 years of continuous administrative, property management, lease administration and/or Real Estate experience; or a combination of education and experience
  • The position requires a self-starter, detail driven, reliable, trustworthy and conscientious individual
  • Excellent verbal and communication skills; confidentiality, discretion, good judgement and a team player
  • Proficient in Microsoft Office (Excel, Word, Outlook, Workday and Tango)
  • Ability to independently perform multiple tasks involving complex and confidential information, conflicting deadlines and constantly changing deadlines
  • Analytical and strategic skills with attention to detail
